We usually receive this information directly from you, through our website, by email, by telephone or in person. In some cases we receive relevant details from someone arranging care on your behalf, your nominated contact, a veterinary professional or a service provider acting on our instructions.
3. Why do we use it, and what is our lawful basis?
- Responding to enquiries and arranging or providing boarding: to check availability, handle booking requests, communicate with you and provide the care you request. Our lawful basis is taking steps at your request before entering into a contract or performing a contract.
- Animal welfare and safe operation: to follow care, dietary, medication and emergency instructions, contact vets or emergency contacts when needed, and manage incidents. Our lawful basis is performance of our contract, our legitimate interests in providing safe and responsible care, and, where applicable, compliance with legal duties.
- Administration, payments and records: to issue or record charges, deal with accounts, comply with tax or licensing requirements and maintain required records. Our lawful bases are performance of a contract and compliance with legal obligations.
- Website operation and security: to deliver our website, prevent misuse, diagnose faults and protect our services. Our lawful basis is our legitimate interests in operating a reliable and secure website and, where relevant, legal obligations.
- Website analytics and improvements: to understand use of the site and improve its content and usability. Depending on the technology and purpose, we rely on consent where required or another lawful basis or exemption where the applicable legal conditions are met. You can manage relevant cookie and tracking choices using our cookie controls.
- Marketing communications (if used): to contact you about Muirburn services only where we are permitted to do so under the applicable marketing rules, including where consent is required or a lawful existing-customer exception applies. You can opt out of marketing at any time.
- Complaints and legal matters: to resolve disputes, respond to requests and protect our legal rights. Our lawful basis is our legitimate interests or a legal obligation, as applicable.
Where we rely on legitimate interests, these include caring appropriately for boarded animals, communicating with customers, maintaining business records, improving the website and safeguarding our premises and systems. We consider these interests against individuals’ rights and expectations.
4. Do you have to provide the information?
Information needed to identify you, contact you, assess a booking and safely care for your pet is generally necessary to provide the service. If required details are not provided, we may be unable to accept or fulfil a booking. Optional marketing and non-essential tracking are not conditions of booking.
5. Who might receive your information?
We share information only where reasonably necessary for the purposes described above. Recipients may include our authorised staff; veterinary professionals or emergency contacts where needed for an animal’s welfare; accountants, insurers, advisers or relevant authorities where appropriate; and service providers supporting our website, booking system, email, security, hosting or payments.
Services currently used on or in connection with the website include the HBook booking system, Zoho Mail, CookieYes, Wordfence, Google Tag Manager/Google Analytics, Microsoft Clarity and Trustindex (Google review display). Google Maps content may also be available on certain pages. These services have different roles and may process technical or other personal data depending on your interaction with them and the website’s consent settings.
We do not sell customer contact details to third-party advertisers. We may disclose information when required by law, to protect the welfare of an animal or an individual, or in connection with a properly managed transfer of the business, subject to applicable data protection requirements.
6. Cookies and similar technologies
Our website uses essential technologies needed for operation, security or your requested services, and may use optional analytics or other tracking technologies. These can include cookies, tags, pixels and similar technologies. We use CookieYes to present information about categories of cookies and to provide consent or preference controls where applicable.
You can use the cookie settings or preference controls available on our website to review or change relevant choices. Some technologies may be used without consent only where a specific legal exemption applies and its conditions are satisfied. Further details of individual cookies, their purposes and durations should be obtained from the current cookie information provided through those controls. For more information about the cookies we use, their categories and how to manage your preferences, see our Cookie Policy.
7. How long do we keep information?
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, or for a longer period where law or a legitimate need requires it. The period depends on the type of record:
- Booking, care and customer correspondence records are reviewed in light of the ongoing customer relationship, animal welfare and licensing requirements, and the time reasonably needed to deal with enquiries, complaints or potential claims.
- Financial and accounting records are kept for periods required by applicable tax, accounting and other legal obligations.
- Website security logs, analytics information and cookie records are kept in accordance with operational needs, relevant service settings and applicable legal limits.
When information is no longer needed, we delete or anonymise it where reasonably practicable. For more information about the criteria or retention of a particular record, please contact us.
8. Transfers outside the United Kingdom
Some website, email, analytics or other service providers may process information outside the UK. Where a transfer of personal data is restricted by UK law, we seek to rely on an applicable UK adequacy regulation or appropriate safeguards, such as the UK International Data Transfer Agreement, UK Addendum or other legally permitted mechanism. Contact us if you would like information about the safeguards relevant to your data.
9. How do we protect information?
We take reasonable organisational and technical steps intended to protect personal information against unauthorised access, loss, misuse or disclosure. Access is limited according to business needs, and we use security measures appropriate to the systems and information involved. No internet service or data transmission can be guaranteed to be completely secure.

- object to processing based on legitimate interests and object at any time to processing for direct marketing;
- receive or transfer certain information in a portable format where the legal conditions apply;
